Choose a product reference
Begin with a specific jacket from the range or describe the essential requirements if you need help selecting one. State whether you are considering lightweight rain jackets or fleece-lined drymacs. A broad request for jackets makes it difficult to compare quotations and can hide differences in construction, sizing and intended use.
Gather sizes against the right chart
Use the selected product’s sizing guidance and separate adult and child requirements. Keep quantities per size visible. If a sample review is needed, ask about availability and timing before collecting final figures. A spreadsheet with clear totals is more useful than a collection of informal messages containing different size labels.
Supply usable artwork
Send a logo file you are authorised to use and describe the preferred position. Ask the supplier to confirm whether that position and method suit the actual jacket. Review the proof before approval; do not assume that a logo shown on another garment will transfer with the same dimensions or finish.
Plan the deadline backwards
Give the date the jackets are needed and allow for your own receiving and distribution process. Ask for confirmation of product availability, artwork approval timing and transport. The required date entered in a form is an enquiry detail, not an automatic promise that production or delivery has been booked.
Keep the approval complete
Check the final product, colour, quantities, size split, logo proof, VAT and delivery charges together. Retain that version as the order record. If a substitute is proposed later, review it against the original brief before accepting it rather than relying only on a similar product name.
